Rhapsody 101!

Congrats on setting up your Rhapsody account! Now that everything is set up, let's walk through how Rhapsody works:

Projects

Projects are at the heart of what makes Rhapsody...Rhapsody!

A Project is like a folder that houses all your dates for things like rehearsals, concerts, recording sessions, etc., as well as the instrumentation and personnel. Setting up you Project allows you to indicate what pieces are being played, what the Instrumentation(s) you need, personnel, Chair Roles, dates + times, and more!


Workflow

There are 4 main stages in Rhapsody:

Within each of these stages, you'll find a variety of ways to customize your workflow and ensemble management needs.


1. Setting Up The Call

Setting up your Rhapsody Calls entails everything you would normally do when setting up and sending out an invite, assignment, or availability:

  • What is the repertoire?

  • What Instrumentation do you need?

  • What are the dates and times of all rehearsals, performances, etc.?

  • Are there rehearsals for some, not all, musicians?

  • Who do you want to fill your seats?

  • Who is next in line to replace musicians if one or more person declines?

  • What are the roles for each chair?

  • Is there a dress code?

  • What is the wage scale?

  • Do you have any specific links to music to send out?

  • Who should musicians contact if they have questions?

  • Are there additional messages or messages you want to send to one or all musicians?

During this phase, Rhapsody will walk you through


2. Send + Track the Call

During this step, we'll go over how to double check your information, and go through your "pre-flight" checklist. This will be everything you need to review and send your Call!

FYI

Once a Call is sent, certain edits may be prohibited, require additional steps and/or will require you to contact your musicians.


3. Adjust + Replace

Now your responses are coming in! You may encounter a variety of scenarios that you need to respond to:

  • A musician has declined the call

  • A musician has request to be released from a rehearsal or piece

  • A rehearsal or piece gets cancelled

  • A musician responds with a question

You'll be able to send additional communication or updates to musicians who have responded, as well as being able to easily contact any musicians day-of from your smart phone!


4. Payroll + Archive

Once your Work Session(s)/Project is finished, you can easily access and customize your Payroll documentation based on who showed up to what.

Once you are finished with your Project, you can Archive everything so that it remains in your account for access if need be, but also removes it from your Active lists.
