When starting off in Rhapsody, your first step is to add all information about your Project into Rhapsody. This is information like:
What pieces are being played/what Instrumentation do I need? (Add Project Pieces + Instrumentation)
What are the dates and times for rehearsals and performances? (Add Work Sessions)
Who do I want to invite to this Project? (Add Personnel)
Etc.
You'll start by creating your Project. When you create your first Project in Rhapsody, you'll see a view similar to this:
Each section within the Project helps guide you to a different element of setting up your Call.
Tabs: The top portion of the screen inside a Project displaying the different menus of a Project. Jump to Tabs
Left-hand menu: A display of the Project Name, Project ID, Project Checklist, Internal Memo, and Hiring Status for the Project
Mode: The various modes of viewing (Mission Control Tab only)
View: Different views in Mission Control for your Project based on set parameters
Right-hand menu: Information regarding Work Sessions, Project Pieces, and downloadable documents (Mission Control Tab only)
Working Area: When filling out your Project, this area will update with the current hiring status's of each musician based on the different views and parameters in the right-hand menu.
Each Project has the following tabs:
Mission Control: Where you build your Project and set up your Rhapsody Call. This is where you spend the majority of your time when setting up a Rhapsody call! Read more about Mission Control.
Who's Next: Set a call order/establish a Project-specific sublist. Read more about Who's Next.
Calendar: View a Calendar view of all Work Sessions in the Project and create individual Work Sessions by dragging and dropping. Read more about Calendar.
Sent: A list of all communications sent in Rhapsody for the Project.
Budget and Payroll: Calculate the wages for each musician in the Project based on set parameters. Read more about Budget and Payroll
Settings: Additional information and details for the Project including notes, links, contacts, dress code, and more. Read more about Project Settings.

You've created a Project, so now you need to determine who and what instruments you need!
You can begin by selecting the + Chairs
button to the left of the right-hand menu. Determine how many Chairs you will need for your Project in total
If you are playing a set repertoire or have multiple different instrumentations in your Project, you'll want to establish what pieces you need by adding Project Pieces.
You'll need to determine next what dates and times you need musicians. To do this, you'll begin adding Work Sessions to your Project. A Work Session is a single date and time where musicians are being asked to perform.
Each Work Session needs the following information:
Work Session Type: The type of Work Session such as Rehearsal, Dress Rehearsal, Sound Check, Performance, or Recording Session. Work Session types can help designate specific pay scales when calculating Payroll.
Work Session Title: This is the name of the Work Session. By default, Rhapsody will use the Work Session Type as the name of the Work Session.
Venue: This is the location of the Work Session. You can select from the list of Venues added to your Venues Menu, or begin typing a new address to quickly add the Venue. At minimum, Rhapsody needs the city/state of the Work Session to accurately determine the time zone for the Work Session. Just be sure to keep your musicians informed about the exact location before the Work Session takes place!
Date + Time: The day and time a Work Session takes place

You can add frequently used venues to your Rhapsody account ahead of time! Simply go to the Venues Menu in Rhapsody, select + Add Venue
and fill out the information for the venue! Rhapsody will suggest your venue for a Work Session based on this list!
Depending on the Project, you can also add the following additional information to Work Sessions:
Internal Memo: These are any notes you want to write about a specific Work Session. Musicians will not see these notes. Great for multiple users!
(External) Memo: These are any notes regarding a Work Session that musicians will see on their Rhapsody calls. This can be great for setting a rehearsal order or providing additional notes about the venue
Project Pieces: If you have 2 or more Project Pieces, Rhapsody will ask which Piece(s) are being played on the Work Session. This is particularly helpful for musicians who are not being asked to play on every Project Piece. Rhapsody will keep track of who is playing on which Project Piece and only invite musicians who are on the Project Piece to the Work Session

Next, you want to determine who you want to call for your Project.
In the Genius View, select each Work Session and Project Piece in the right-hand menu. Then one by one, select each Chair in the ensemble to add the appropriate musician.Rhapsody will provide you with a list of suggestions based on musicians found in your Address Book.
Add roles to the Chairs and any additional memos for the musicians
You can further customize your personnel based on Project Pieces or Work Session specific by utilizing the Pieces View and Work Sessions View!
Rhapsody allows you to provide any additional information for the Project:
Who's Next Rules: Determine a call order and set up a sublist for Rhapsody to suggest if musicians decline their call
Project Contacts: Any additional person musicians should contact regarding aspects of the Project
Piece Inst. Shorthand: Provide the Instrumentation shorthand for Project Pieces to be visible by musicians on their call
Dress Code: A brief description of the dress code for the performances on the Project
Wage Info: Set wage information visible by all musicians receiving the call
Project Cover: The image unique to the Project that will be displayed at the top of all communications in Rhapsody for the Project.
Project Links: Url or documents to upload to your Project. These can be great for thinks like music links or PDF flyers!
Project Notes: Great to provide additional text-based messages to the Project. Use this to expand on CBA, dress code, wage information, parking, or just general messages!
Once you finish setting up your Project with all the information you need, you are ready to Send + Track the Call!
