Templates
When managing an ensemble, there will typically be set or semi-set members in an organization. These musicians will be asked to typically perform the same Chair, Role, and Instruments.
Templates can be filled out with as much information as possible, or as little as you want. Perhaps you want a Template that only contains Chair Roles? Maybe you want a Template for just Clarinets? What about a Template full of all your tenured musicians who should be first call for all Projects? Whatever your need, Templates will save you time!
Creating a Template
Navigate to the Templates menu in Rhapsody.
In the top right corner of the screen, select the
+ Add Template
buttonIn the popup that appears, give your template a name and select
Next
Viola! You have now created a Template!
You will be automatically directed to your blank Template where your next steps are to add your Chairs and any additional information you want in your Template!
Adding Chairs to a Template
Navigate to the Templates menu in Rhapsody and the Template you want to add Chairs to (newly created Templates will automatically bypass this)
In the Template, select the
+ Chairs
button in the top right corner of the screenIn the popup that appears, select the amount and number of Chairs for each Instrument.
Once you have finished adding your Chairs, select the
Add # Chairs
button in the bottom right corner of the popup.Viola! You have now added Chairs to your Template!
Adding Roles to Template
By default, Rhapsody will give every Chair the Role of "Section". If you wish to delineate specific Roles for specific Chairs/musicians, you'll want to add Roles to your Chairs.
Inside a Template, locate the Chair you wish to edit the Role for. Chair numbers for each Section are designated in the top left corner of a Chair
Next to the Chair number, select the option for
Section v
In the dropdown menu that appears, select the appropriate Chair Role. Once selected, the Role for the Chair is saved.
Repeat process of editing roles for each Chair as needed
Viola! You have now added Roles to a Template!
Adding Personnel to Template
Inside a Template, locate and select a the
Assign
text in an empty Chair. Once selected, Rhapsody will provide a dropdown menu of possible musicians to fill the spot in the ChairBegin typing the name of a musician or select a musician from the list provided by Rhapsody. Once selected, the musicians name will appear in the Chair and they have been assigned to this Chair in this Template.
Repeat process until all empty Chairs are filled with musicians.
Viola! You have now added personnel to a Template!
Musicians may be placed in multiple Chairs. If Rhapsody believes this may be an error, it will provide a warning on the applicable Chairs. Please be sure to double check your Template before use!
Add Multiple Instruments to Chair in Template
Inside a Template, locate the Chair you wish to add/edit Instruments for.
In the bottom left corner of the Chair, select the name of the Instrument/ + Instrument text.
In the dropdown menu provided, search and/or select the name of the Instrument(s) you want to add to the Chair. Selected Instruments will be highlighted in Blue.
Once all Instruments have been added, select the
Save
button from the dropdown menuRepeat process of adding multiple Instruments in each Chair as needed
Viola! You have added multiple Instruments to a Chair in a Template
Rhapsody will suggest the various Instruments eligible for doubling on a Chair. If you need to add an Instrument from a different Section or Family, we recommend making a Piece Memo for that Chair in the Template. Read more about Piece Memo's here.
Editing a Template
If you would like to edit or add additional information after you've created the Template, you can easily do so by navigating to the Templates menu in Rhapsody, and selecting on the Template.
While Templates can be edited at any time, changes made to Templates will not retroactively change already made Projects that used the Template.
Edit Template Name
Inside a Template, locate the name of the Template in the top left corner. This is located directly above the Internal Memo of the Template.
Select the name of the Template and edit as needed.
Exit out of the text box for the Template name
Viola! You have now edited your Template name!
Add/Edit Internal Memo for Template:
Inside a Template, locate the Internal Memo box in the top right corner of the Template.
In the yellow text box, type in or edit any notes or messages regarding the template
Exit out of the text box for the Internal Memo
Viola! You have now added/edited your Internal Memo for a Template!
Reorder Musicians in Template
Inside a Template, locate the Section you wish to reorder
Next to the section name, locate and select the icon of two horizontal arrows
In the popup that appears, drag and drop the musicians into the correct seating order.
Once finished, select the
Save
button on the bottom right hand corner of the popupViola! You have now reordered musicians in a Template!
Move musician to different Section
Inside a Template, locate the musician you want to move to a different Section
Select the checkbox in the top right corner of the Chair. Once selected, a menu of options will appear at the bottom of the screen.
In the menu at the bottom of the screen, select option Move. Rhapsody will provide a list of options to chose from existing Sections that have Chairs, or Sections that do not have Chairs.
Select the Section you wish to move the musician to. For preexisting sections provide desired section order and select
Move
Viola! You have now moved a musician to a different Section!
